WTT’s Tour Terms & Conditions Agreement
By booking a World Travelers Today (WTT) tour, you acknowledge that you have read and agreed to the following terms and conditions:
Tour price guarantee: World Travelers Today’s tour prices do not include airfare and are subject to change without notice due to the unpredictability of currency rates and trip costs. However, your price for the tour you have selected will be locked and guaranteed the moment we receive your payment.
Included in the price of each Tour: Every tour varies; however, most include sightseeing tours with local guides, including admissions to sights seen as a small group; ½ your meals as listed in the itinerary; accommodations each night, often in family-run hotels in the historic heart of each city; all transportation from and to the airport, first hotel to the last hotel listed in your itinerary (does not include optional activities or independent travel during the tour).
Tour Price: The tour price is listed in US Dollars. Regardless of currency, the price is in US Dollars. Monitor currency fluctuations by logging onto XE, or other reputable currency exchange sites.
All prices are land activities only, per person. Airfare, travel insurance, and medical insurance are not included.
Tour prices are per person in US Dollars and are based on double occupancy (two persons sharing the same room). If you request a single occupancy room, a single supplement will be added to the regular tour prices.
A refundable deposit is required to book a tour (in general a $500.00 deposit is due at the time of booking to secure your space). Reservations will be confirmed upon our receipt of a signed booking form and deposit. Deposits will not be refunded after 7 days of payments. No exceptions.
Payments will be made via electronic invoice which accepts all major credit and debit cards. Checks, Apple Pay, bank transfers, and cash are also accepted.
Payment in full is due 60 days prior to the start of the tour, in one payment.
Reservations made without payment in full 60 days prior to the start of the tour will be subject to cancellation.
Full payments can be made via our online portal or via email invoice, electronic fund transfer, check, Apple Pay, or cash.
World Travelers Today reserves the right to modify prices at any time due to price adjustments on behalf of our service providers. We will do our best to promptly inform you of any necessary price changes.
Solo travelers and single supplements: If you wish to guarantee a private room, we offer a limited number with no fee. We will do our best to find a room or hotel nearby to accommodate your request. This will not guarantee a larger or "nicer" room, as most European single-bed rooms are generally the smallest and most basic rooms the hotel has to offer.
Itineraries are subject to change: Every country is full of surprises and events such as, but not limited to acts of God, Holy Week, fiestas, taxi strikes, acts of terrorism, pandemics (COVID-19), and local holidays. Therefore, our tours are designed to be flexible enough to take advantage of whatever comes along so that we may provide you with the best possible experience. Uncompleted portions of the tour itinerary are not causes for a full refund. If a scheduled activity needs to be canceled, other activities can and will be scheduled to complete the tour.
Transportation: World Travelers Today in general provides an initial pick-up and final drop-off of clients and luggage, as well as transportation to various sites throughout the tour. All tour vehicles are driven only by our authorized guides and drivers.
If World Travelers Today cancels a tour you have paid for, the entire amount you paid for the applicable tour will be refunded to you within (30) days after the tour cancellation. If we cancel a tour you have reserved with a deposit only, the entire amount you have paid to WTT for the applicable tour will be refunded to you within (30) days after the tour's cancellation. Or you may choose to transfer within two weeks to another tour with seats available. Once this occurs, WTT and its representatives have no other obligations to tour members on canceled trips including any additional costs or fees related to the issuance and/or cancellation of airline tickets or other travel reservations not made by WTT.
Cancellations, refunds, and credits:
There will be no refunds for any unused portion of the tour. WTT guarantees customized tours/programs for small numbers of participants. We maintain such consistent quality by guaranteeing payment to all those involved in the program (i.e. restaurants, drivers, guides, hotel owners). Your tour deposit is 100% refundable for 7 days from the date it is received unless noted otherwise. If you book a tour with WTT, note that 60 days before its departure date, the entire tour cost becomes non-refundable, but will be creditable in the event of a medical or family emergency, a pandemic, or Act of God. Once your deposit refund date has passed, your deposit will not be refunded under any circumstance, however, it will be transferable to a future tour. As of 2021, due to COVID-19, most European countries where WTT runs tours are now requiring comprehensive travel insurance to enter their countries. Therefore, proof of travel insurance must be shown to WTT prior to travel and a copy of your insurance must be presented to the airlines or immigration services.
All payments to WTT become non-refundable on your final payment due date (60 days before the start of your tour). We will provide you a credit for future travel with World Travelers Today if you cancel your reservation for a creditable event, as outlined below before the tour begins. If you cancel your reservation for a creditable event 1–60 days before the first day of the tour, your credit will be equal to 100% of your original tour price. The credit will be valid for up to three years from the original start of your tour (e.g. if you receive a credit for a tour set to depart September 01, 2021, you may use that credit toward any tour(s) departing prior to September 01, 2024). This is not insurance and is not intended as a substitute for comprehensive travel and health insurance. Travel health insurance is now required for all WTT Tours.
Creditable medical or family Emergency ("Creditable Event"): WTT will provide you a credit for future travel if one of the following creditable events takes place prior to travel: medical (example positive COVID-19 test) or family emergency, Act of God (bad weather), terrorist attack. A creditable event must first occur less than 60 days prior to your tour's start date. It is WTT's sole discretion to determine if your situation is a Creditable Event. For these purposes, we consider your traveling partner to be someone who shares the same accommodations with you and a family member to be your spouse, step-child, or blood relative in the first degree, or close friend.
- You, your travel partner, or a family member dies or suffers an unexpected and disabling injury or illness requiring hospitalization or urgent medical care prior to joining the tour.
- You, your travel partner, or a family member suffers a certifiable personal disaster (such as your home floods or burns down, or you are a victim of a serious crime) necessitating a change in travel plans.
- You or your spouse are called into active military service or have to leave revoked.
- Loss of employment.
- You or your travel partner receive a positive COVID-19 test 72 hours prior to travel.
- Act of God or terrorist attack at the travel destination.
Credit request process: If you need to cancel your tour you must notify WTT immediately in writing sent via email to email@example.com, or mailed to 3033 Wilson Blvd. Suite E117, Arlington, VA 22201. Cancellations become effective on the date received by WTT and are governed by the WTT’s Terms & Conditions. If you wish to request a credit for a creditable event, please put that in your request. If you want a refund, please contact your comprehensive travel insurance. You also must provide the following documentation along with your cancellation notice: For an unexpected illness or injury, we require you to provide a letter from your attending physician, on the physician's letterhead, verifying the specific reason and date of the onset of the condition given for advice against traveling.
Tour forms, obligations, and risks: To travel on a tour, and to qualify for cancellation credit, all tour members are required to review and accept a Release and Waiver Agreement prior to the beginning of a tour. Omitting important information, or altering the Release and Waiver Agreement, will render it invalid, and could result in expulsion from a tour at your own expense.
World Travelers Today will not refund deposits after 7 days of receiving payment. Full payments can also be applied to future tours with a “Creditable Event”.
WTT will not refund full payments within 60 days of the start of the tour, therefore, we strongly advise that you purchase travel and health insurance to protect yourself if you need to cancel your reservations. World Travelers Today does not provide travel insurance nor are we associated with any travel insurance provider.
If you want to alter your tour in any way, we will do our best to accommodate your changes. However, all changes will depend on availability and we reserve the right to charge an adjustment fee. Tour change requests will be considered at the discretion of World Travelers Today and must be submitted 30 days prior to the start of the tour.
Travel Documents: It is the responsibility of the traveler to obtain valid passports, visas, and other necessary travel documents such as travel insurance and medical clearances. Please check with your local embassy or consulate for further information. World Travelers Today cannot accept responsibility if you are refused entry into a country due to unacceptable or missing documentation.
Medical: Any pre-existing physical, mental, or emotional disability that may require attention or treatment must be reported prior to the beginning of a tour. Omitting important information, or altering the Release and Waiver Agreement, could result in expulsion from a tour at your own expense and/or exclusion from full participation in tour activities based on your guide's discretion. Negative COVID-19 tests must be demonstrated to airlines prior to travel. Failure to do so will be at your own expense.
By making a payment, travelers certify that they do not have a medical condition or disability that would negatively impact other travelers participating in the tour by creating a risk or hardship for them.
World Travelers Today reserves the right to decline application forms of any traveler whose health or condition might impede the operation of a tour or the welfare or enjoyment of fellow travelers.
Responsibility: World Travelers Today does not own or operate any of the services provided by local suppliers or accommodations for your trip. World Travelers Today acts only in the capacity of an agent of all land transportation, sightseeing, tour operations, activities, and accommodations that provide services included in a specific tour program.
World Travelers Today and its representatives will not be held liable for any injury, damage, loss, accident, delay, irregularity, liability, or expense to a person or property due to any act of default of land transportation carrier, restaurant supplier, accommodations, or other contractor providing program services.
World Travelers Today and its representatives shall not be responsible for any expense or liability resulting from labor disputes, war, acts of terrorism, government restraints, pandemics, weather conditions, sickness, or any other cause beyond their control.
World Travelers Today and its representatives reserve the right to accept or refuse any person as a participant of any tour if circumstances so demanded.
World Travelers Today reserves the right to cancel any program prior to departure for any reason, including an insufficient number of participants.
World Travelers Today reserves the right to change itineraries and/or substitute services or accommodations of equal quality without prior notification.
Video/Photographs: World Travelers Today will seek your permission to use videos/photographs of guests taken during the tour for promotional materials and social media accounts directly connected with World Travelers Today.
Participation: Although we want everyone to have a good time, it sometimes happens that someone participating in a tour can act unprofessionally or do things that are incompatible with the safety, comfort, or convenience of other members of the tour. In those circumstances we have the exclusive right and discretion, to expel someone (even you) from a tour at any time, without any claims or complaints by you against us.
All of World Travelers Today's tours are physically active: This is an integral, essential part of the tour experience. On any tour you should be capable of fully participating — without any assistance — in the following levels of activity:
- Carry or roll your own luggage for up to 15 minutes over uneven pavement from the bus to the hotel, then haul it up as many as five flights of stairs to reach your room. We suggest you pack light.
- Be comfortable on your feet for up to four hours walking and standing, both inside museums and outdoors in all weather conditions.
- Sleep with street noise in some hotels.
- After orientation and city briefing, you should be able to navigate towns and cities on your own.
No smoking is allowed on the bus, in hotel rooms, or during group meals. Smokers may only smoke outdoors and away from the group.
Children under age 18 must room with and be accompanied on the tour by a parent or guardian, who is responsible for participating in all tour activities in which the child participates.
The information provided during the tour is for your own personal enjoyment and not for professional use. Recording guide lectures for professional purposes and soliciting business from tour members while on tour or afterward is strictly prohibited.
After booking, you will receive a copy of these Terms and Conditions and a standard acknowledgment of risk and release. After full payment of your tour, or 45 days before the start date of your tour, you will receive the necessary hotel contact information along with a detailed itinerary of your tour.
NOTE: An electronic version will be emailed to you for signature prior to paying your deposit for the tour.
